Email signature management software, one email signature management tool for the whole company

Email signature management software does one job: it takes the signature out of every individual mail client and puts it in one place that IT controls and marketing can contribute to. AutoSignature does that job for Google Workspace and Microsoft 365 at the same time, for one flat price per company.

What this category is

What email signature management software actually does

A signature lives in the mail client, which is why a company of 120 people has 120 different ones. Management software moves that decision to the tenant: you design a template centrally, the product fills it per person from your directory, and it writes the result into each mailbox on a schedule you control.

  • The template is one design, not a file everyone is asked to paste.
  • The per-person fields come from the directory that is already correct, so nobody retypes a job title.
  • The deployment is a group operation, so a department, an office or a country can have its own version.
  • The change is reversible, because every rollout is a version you can return to.

Where a signature management solution replaces the alternatives

  • Instead of an email with HTML attached and a page of instructions, nobody pastes anything.
  • Instead of an Exchange transport rule that appends a block invisibly, the signature is in the message the sender sees in Sent Items.
  • Instead of a design that decays for a year after a rebrand, the current brand is the only one in circulation.

What you get

Template library and brand editor

Twelve layouts, a brand editor for logo, colours, fonts and spacing, and a preview that renders a real signature while you edit. Template sets can differ per brand, entity or country, which matters for groups that trade under more than one name.

Directory fields, filled per person

Name, job title, department, phone, mobile, office, photo and pronouns are mapped once and then filled per mailbox. A person who moves department picks up the new group's template without anyone touching their account.

Group targeting and rollout history

You deploy by department, office, country or entity. Each rollout records who changed what and when, and one click returns any group to the version before it.

Banners and disclaimers on top of the same template

Marketing schedules a signature banner campaign with start and end dates, and compliance sets email disclaimer rules per country and entity. Neither of them needs the other's permission, and neither can break deployment.

Who runs it

The IT administrator

Owns the tenant connection, the template set and the deployment. Grants scoped permission once, reads the preview, deploys to groups, and stops answering signature tickets from new joiners.

The marketing or brand lead

Owns the logo, the colours, the social links and the campaign banner. Edits them in the studio and schedules them, without opening a ticket and without touching anyone's mailbox.

The operations manager with no IT department

In a 30-person company this is one person doing both jobs. The reason the product is configured in an afternoon rather than a project is that this person does not have a second afternoon.

The compliance lead

Owns the disclaimer text, per country and per entity, and needs to see that it is applied. The rollout history is the record that it is.

What to compare before you buy

  • Price shape: a flat company price against a per-seat licence that grows with every hire.
  • Platform coverage: whether Google Workspace is a first-class citizen or an afterthought behind Microsoft.
  • Delivery method: client-side signatures that the sender sees in Sent Items, or server-side stamping that they do not.
  • Mobile: whether phones are covered at all, or only in a higher tier.
  • Roles: whether marketing can run a banner campaign without holding the deployment rights.

Email signature management software compared by price and platform

The seven products US companies most often shortlist, priced from each vendor's public pricing page in September 2026 on annual billing, at three company sizes. The cheapest tool is not the same at every size, and one of them does not cover Gmail at all.

SoftwarePrice shape25 mailboxes100 mailboxes300 mailboxesGoogle Workspace
BulkSignature Standard$0.88 per user, 10 minimum$22$88$264Yes
CodeTwo Email Signatures 365Per user, falling with volume, 10 minimumabout $31$111$261No
Exclaimer Standard$1.45 per user, 10 minimumabout $36$145$435Yes
WiseStamp Grow$49 plus $1 per employee$74$149$349Yes
Letsignit$2 per user, annual only$50$200$600Yes
Opensense Signature$1 per user, $500 monthly minimum$500$500$500Yes
AutoSignatureFlat per band of mailboxes$79$239$639Yes, every plan

Honestly read, the per user tools are cheaper than a flat band at most sizes, BulkSignature is the cheapest line throughout, and CodeTwo is the cheapest option that works on Microsoft 365 only (compared on the BulkSignature alternative page). What a flat price buys is a bill that does not move when you hire, plus mailbox written signatures, both mail platforms on every plan, and one step rollback from the Business plan up. The full plan detail is on the pricing page, and companies moving off a product that now sits inside a larger suite will find the steps on the Sigstr alternative page. Teams on an annual Letsignit contract can see where the flat bands cross its $2 rate on the Letsignit alternative page.

Email signature management software questions

What is the best email signature management software?

For most US companies the shortlist is Exclaimer, CodeTwo, WiseStamp, Opensense and AutoSignature, and the right one depends on two facts: which mail platforms you run and how the bill should behave. CodeTwo is the cheapest for Microsoft 365 only. Exclaimer is the long standing default for both platforms. Opensense suits marketing teams running account targeted banners. AutoSignature suits companies that want a flat price and both platforms on every plan.

Each vendor is set out in full on the Exclaimer alternative, CodeTwo alternative and WiseStamp alternative pages.

How much does email signature management software cost?

Per user tools list at roughly $0.76 to $1.75 per user a month on annual billing, usually with a 10 user minimum, so a 100 person company pays about $110 to $175 a month. Some vendors add a base fee or a platform minimum; Opensense has a $500 monthly floor. AutoSignature is flat: $99 a month up to 25 mailboxes, $299 up to 150 and $799 up to 600.

The per user figures are worked out at every tier in CodeTwo pricing and Opensense email signature pricing.

Does Microsoft 365 have email signature management?

Only in a limited form. An Exchange Online mail flow rule can append an HTML disclaimer that pulls directory fields such as display name and title, but it lands at the bottom of the whole thread rather than under the reply, and the sender never sees it in Sent Items. There is no template library, no preview and no rollback, which is the gap signature software fills.

The native options and where they stop are covered on Office 365 email signature management.

Can Google Workspace set email signatures for all users?

Not the real signature. The admin console can append a footer to all outgoing mail, but it cannot write a personalized Gmail signature into each user's settings. Setting a per user signature for every account and alias needs the Gmail API, which is what signature management tools for Google Workspace use.

How that works for every user and alias is on Google Workspace email signature management.

How do I manage email signatures for my company?

Build one approved template, connect it to your directory so names, titles and phone numbers fill in per person, and deploy it centrally to every mailbox rather than asking staff to paste HTML. Roll it out to one team first, check Outlook, Gmail and phones, then widen. Signature management software does all four steps from one console.

Build a signature before you talk to anyone

The builder on the homepage runs the same rendering engine the product deploys with. Pick a layout, set your brand colour, switch employees and copy the HTML. Then create your account when you want the rest of the company signed the same way.
