For Microsoft 365 and Google Workspace teams
Crossware email signature alternative with a flat price and no mail loop
Crossware is a long running signature platform that covers Microsoft 365, Google Workspace, Exchange and even HCL Domino. It adds signatures by looping each outgoing message through its own Azure service. Buyers look elsewhere when their security review will not accept that loop, when the per user bill keeps climbing with headcount, or when they want a price without a call to a sales manager.

The short answer
Crossware Email Signature for Microsoft 365 is listed on Microsoft's US marketplace at $1.40 per user a month, or $16.80 per user a year, up to 1,000 users. It applies signatures in its own Azure cloud and loops each message back to your tenant. Below about 106 mailboxes and between 151 and 285 it costs less than we do. Pick AutoSignature for 107 to 150 or 286 to 600 mailboxes, for Gmail and Outlook on one plan, or when no third party may touch outgoing mail.
Crossware per user per year on the annual marketplace term, the same rate as monthly
Crossware per year at 600 users, against $4,788 on our Scale plan
Connectors, transport rules or add-ins needed for AutoSignature
Per user pricing is a straight line, flat bands are steps
Crossware's marketplace plan charges the same $16.80 a year for every user, so the bill rises in a straight line with headcount. Our plans are three flat bands. Where the line sits above the step, we cost less.
That happens twice: from 107 to 150 mailboxes on Business, and from 286 to 600 on Scale. Everywhere else the line is lower and Crossware is the cheaper buy.
What Crossware costs at each company size
Crossware's own site sends you to a local sales manager for a price. Microsoft's commercial marketplace does publish one for the Microsoft 365 product in the US: a single per user plan at $1.40 a month or $16.80 a year, for up to 1,000 users. The table multiplies that out and sets our plan for the same headcount next to it.
| Users | Crossware, per month | Crossware, per year | AutoSignature, per year | Difference per year |
|---|---|---|---|---|
| 10 | $14 | $168 | $588 (Team) | $420 more with us |
| 25 | $35 | $420 | $588 (Team) | $168 more with us |
| 50 | $70 | $840 | $1,788 (Business) | $948 more with us |
| 100 | $140 | $1,680 | $1,788 (Business) | $108 more with us |
| 150 | $210 | $2,520 | $1,788 (Business) | $732 less with us |
| 300 | $420 | $5,040 | $4,788 (Scale) | $252 less with us |
| 600 | $840 | $10,080 | $4,788 (Scale) | $5,292 less with us |
Read plainly: a 10 to 100 person company pays less at Crossware, and so does a company between 151 and 285. We come out ahead from 107 to 150 people and from 286 to 600, and the gap gets large near the top of a band. Crossware's marketplace rate is the same on monthly and annual terms; ours is $99, $299 or $799 a month when billed monthly, which moves both break-even points up. Directory sites still quote Crossware "from $1 per user" with volume discounts. That may be what a direct quote looks like, so treat the marketplace figure as the ceiling to negotiate from. The same math for other vendors is in CodeTwo pricing and Exclaimer pricing by company size.
How Crossware adds a signature, and how we do
Crossware calls its design a secure closed loop. Each message leaves Microsoft 365, gets its signature in Crossware's Azure service, and is looped back for delivery. It is a mature design and it reaches every device. It is also a third party in your mail flow, which is the first line many vendor reviews ask about.
Crossware
Every outgoing message passes through the vendor service.
- 1 Send
- 2 Out to Crossware in Azure
- 3 Signature added by rule
- 4 Looped back to Microsoft 365
- 5 Delivered
AutoSignature
Mail flow is untouched. We never see a message.
- 1 Signature written to the mailbox
- 2 Employee sees it while writing
- 3 Send
- 4 Microsoft or Google delivers it
- 5 Delivered
Crossware also offers a Dynamic Signatures Outlook add-in so people can see their signature while composing. Processing stays inside Microsoft Azure, you can choose the datacenter for data residency, and Crossware states ISO 27001 certification. None of that is a red flag. But if your policy is that no outside service touches outgoing mail, a signature written to the mailbox is the shorter conversation with security. The platform detail is on Office 365 email signature management and Google Workspace email signature management.
Four Crossware products, one AutoSignature plan
Crossware sells a separate product per mail platform. That is a strength if you still run HCL Domino or on premises Exchange. It is a second contract if you run Outlook in one office and Gmail in another.

If you still run Domino or an Exchange server in your own building, stay with Crossware or look at CodeTwo; we do not cover those. If you are fully in the cloud with a mix of Outlook and Gmail users, one plan covers both at the same depth, which is how most companies that came through an acquisition end up buying.
Where Crossware wins and where we do
Crossware is the better pick when
You have under 100 people and price decides
At $16.80 per user a year, a 50 person company pays $840 against $1,788 on our Business plan.
You run Domino or on premises Exchange
Crossware still sells products for both. We cover Microsoft 365 and Google Workspace only.
You want rules down to the message
Its rule builder switches blocks by internal or external recipient, new message or reply, and date range, and it can add one click surveys and review requests.
AutoSignature is the better pick when
You have 107 to 150 or 286 to 600 mailboxes
A 150 person company saves $732 a year and a 600 person company $5,292 against Crossware's marketplace rate.
No vendor may sit in the mail path
No connector, no loop and no add-in. The signature lives on the mailbox and goes out as the employee's own.
Hiring should not move the bill
Inside a band, the 120th hire costs the same as the 110th. Finance gets one number for the year.
Crossware vs AutoSignature, feature by feature
The Crossware column comes from its Microsoft 365 product page, its FAQ and its Microsoft marketplace listing. Where a point is not described there, the table says so instead of guessing.
| What a buyer checks | Crossware | AutoSignature |
|---|---|---|
| List price | $1.40 per user a month or $16.80 a year on Microsoft's marketplace, up to 1,000 users; direct pricing by quote | $99 a month up to 25 mailboxes, $299 up to 150, $799 up to 600, 50 percent less yearly |
| Billing terms | Monthly or annual subscription, auto renewing | Monthly or yearly |
| Trial | 30 days by request, or first month free on the marketplace before it converts | Console on every page, no account needed |
| Platforms | Microsoft 365, Google Workspace, Exchange, HCL Domino, sold separately | Microsoft 365 and Google Workspace on every plan |
| How the signature is applied | Message looped through Crossware's Azure service; optional Outlook add-in | Written to each mailbox, no loop and no add-in |
| Rules | Internal or external, new or reply, date ranges, groups, domains, custom attributes | Templates and locked blocks assigned by directory group |
| Banner campaigns | Yes, plus one click surveys and reviews | Scheduled per group with click tracking, Business plan |
| Delegated access | Give groups access to create and assign signatures without admin rights | Roles for up to 6 admins on Business, 20 on Scale |
| Security claims | ISO 27001, GDPR, choice of Azure region | Never stores or reads message content |
| History and rollback | Not described on its product pages | Rollout history, 30 days on Team; one step rollback and 12 months on Business |
| Support | 24 hour email support, paid design and migration services | Email support on every plan |
If the legal footer is why you bought Crossware, see how locked blocks are assigned by group on the email signature disclaimer software page. If banners are why, compare campaign scheduling on the email signature banner page first.
Who moves from Crossware to AutoSignature
The 130 lawyer firm after a security review
A law firm answering a client's outside counsel guidelines has to list every service that handles privileged email. Removing the loop takes one vendor off that list, and at 130 seats the Business plan costs $396 a year less than Crossware's marketplace rate.
The company that bought a Gmail shop
An Outlook company acquires a team on Google Workspace. Crossware means a second product and quote; we put both domains under one console and one bill, with the same templates and the same legal blocks.
The 450 person firm watching per seat costs
At $16.80 per user, 450 people cost $7,560 a year and every hire adds more. Scale is $4,788 for up to 600 mailboxes, so growth to 600 does not reopen the budget.

Moving off Crossware in four steps
- 01
Find the renewal date
Marketplace subscriptions renew automatically at the end of each month or year. Check the term in the Microsoft 365 admin center under your SaaS subscriptions and turn off auto renew before the date.
- 02
Copy out the rules
List each signature, its blocks, the legal text, banners and the groups or domains each rule targets. Rebuild them in the console at the top of this page.
- 03
Pilot one group
Deploy to one team and exclude that team from Crossware's rules first, or its mail will carry two signatures for a day.
- 04
Remove the loop last
When every group shows the new signature, delete the Crossware connectors and mail flow rules in the Exchange admin center and remove the Outlook add-in.
What employees see on day one in Outlook is covered on the Outlook signature manager page.
Crossware alternative questions
How much does Crossware email signature cost?
On Microsoft's commercial marketplace in the US, Crossware Email Signature for Microsoft 365 is $1.40 per user a month on a monthly term, or $16.80 per user a year on an annual term, for up to 1,000 users. That is $420 a year for 25 users and $1,680 for 100. Larger orders and direct purchases are quoted by a Crossware sales manager.
What is the best Crossware alternative?
It depends on why you are leaving. For the lowest per user price on Microsoft 365 only, CodeTwo or Sigsync. For heavy banner marketing, Exclaimer. For no mail routing at all, Microsoft 365 and Google Workspace on one plan, and a flat price that beats Crossware between 107 and 150 or 286 and 600 mailboxes, AutoSignature.
Does Crossware route email through its servers?
Yes. Crossware describes its Microsoft 365 product as a closed loop: outgoing messages pass to Crossware's service in Microsoft Azure, the signature is added according to your rules, and the email is looped back to Microsoft 365 for delivery. Google Workspace works the same way. You can pick the Azure region for data residency.
Does Crossware have a free trial?
Yes. Crossware offers a 30 day free trial through a request form on its website. Through Microsoft's marketplace the first month is free and then converts to a monthly or annual subscription automatically, so a payment method is required up front and the renewal date needs a calendar reminder.
Does Crossware work with Google Workspace?
Yes. Crossware sells separate products for Microsoft 365, Google Workspace, on premises Microsoft Exchange and HCL Domino. The Google Workspace version applies signatures in Crossware's cloud and returns the message, like the Microsoft one. The marketplace price above covers the Microsoft 365 product only, so ask for a Workspace quote separately.
Is Crossware ISO 27001 certified?
Crossware states that it is ISO 27001 certified and GDPR compliant, and that all processing of your email takes place in Microsoft Azure in the datacenter you choose. It also runs a public trust center and status page. If your vendor review needs the certificate itself, ask Crossware for the current copy and its scope.
Company signatures with nothing in your mail path
Team is $99 a month for up to 25 mailboxes, Business is $299 a month for up to 150 with banner campaigns and roles, and Scale is $799 for up to 600. Microsoft 365 and Google Workspace are in every plan, and yearly billing takes 50 percent off.
