Email signature management questions, answered in plain terms

These are the questions an IT administrator, a marketing lead and a finance approver ask before they buy signature software. The answers describe what the product does today, in the words the buyer used when asking.

Platforms and clients

Does it work with both Google Workspace and Microsoft 365?

Yes. Both platforms are supported to the same depth, and you can run them side by side in one account, which is common after an acquisition. Templates, groups and banner campaigns are shared, and the deployment path is the one each platform expects. See Google Workspace signature management and Office 365 email signature management.

Which mail clients show the signature correctly?

Outlook on Windows and Mac, the new Outlook, Outlook on the web, Gmail on the web, Apple Mail, and the iOS and Android mail apps. The studio previews all of them before you deploy, because each one treats HTML tables, images and dark mode differently.

Does it work on phones?

Yes. You deploy a short mobile variant of the same template, so a message sent from a phone ends with the person's name, title and company instead of the line their phone adds by default.

Do signatures appear on replies and forwards?

Yes, and you decide what appears. A reply-aware template sends the full signature on the first message and a short block on replies, so a fifteen-message thread does not carry fifteen logos.

Can we keep using our Exchange transport rules?

You can, and many companies do for the legal disclaimer while AutoSignature handles the visible signature. The trade-offs of each approach are on the Exchange signature management page.

Rollout and daily use

How long does rollout take?

An afternoon is normal. Connecting the tenant takes minutes, the first template takes an hour or two because that is how long a design decision takes, and deploying to the first group runs while you watch the preview.

What happens to the signatures people already have?

The template you deploy replaces the signature in the mailboxes you targeted. Nothing else in the mailbox changes, and the previous state stays in the rollout history so you can return to it in one click.

Do employees have to do anything?

No. They keep writing email. The signature is set on the mailbox, and the next message they send carries it.

What happens when someone joins, moves or leaves?

The directory decides. A joiner is signed correctly on the first message they send, a move to another department picks up that group's template, and a leaver stops signing when the account is disabled. On Scale you can drive all three from HR through the API.

Can we stage a rollout instead of doing everything at once?

Yes. Deploy to one department, read the preview, let it run for a day, then widen the group. Rollouts are per group by design for exactly that reason.

Who can edit what?

Roles are separate. Marketing edits banner campaigns and their schedules, IT owns templates, groups and deployment, and an approval step before anything goes live is available on Scale and Enterprise.

Security and data

Do you read the content of our email?

No. AutoSignature reads the directory fields that fill the template, and writes the signature to the mailbox. Message bodies are not read, not stored and not routed through us.

What permissions does the product need?

Reading directory profiles and setting signatures on the mailboxes you choose. Nothing more. The consent screen in your tenant lists them before you approve, and you can withdraw the grant at any time from your own admin console.

Where is our data stored?

Directory fields, templates and rollout history are stored in the region attached to your account. Enterprise chooses the region as part of the agreement.

Can we get a DPA and a security review?

Yes. A signed DPA, support through your security questionnaire and a penetration test summary on request are part of Enterprise.

What happens to our data if we cancel?

Templates and rollout history stay available until the end of the period you paid for, you can export them, and the signatures already set in your mailboxes remain in place because they live in your tenant.

Billing

How does billing work?

Every plan is a subscription, monthly or yearly, renewing until you cancel. You pay for a band of mailboxes rather than a per-seat line, so the amount does not change when you hire.

Can we pay by invoice?

Enterprise is invoiced against a purchase order, on annual or multi-year terms. Team, Business and Scale are paid by card.

Is there a contract?

A monthly plan has no commitment and ends with the month you paid for. A yearly plan runs for that year. Enterprise terms are in the agreement.

Can we try it before we buy it?

Yes. The signature builder on this site runs in your browser with no account: you build a real signature, switch employees to see the template fill itself, and copy the HTML.
