Templates and brand

Design once, render everywhere

  • Twelve layouts: stacked, two columns with a divider, compact with the logo on the left, wide with a banner, and eight more for denser or lighter blocks.
  • Brand editor for logo, accent colour, typeface, line spacing and maximum signature width.
  • Table-based HTML output, which is what mail clients render predictably, with inline styles and no external stylesheet.
  • Dark mode handling, so a dark logo does not disappear against a dark background in Outlook or Apple Mail.
  • Image hosting for logos and banners, served at the sizes mail clients expect, including two-times assets for high-density screens.
  • A short mobile variant of every template set.
  • Template sets per brand or entity, on Business and above.

Directory fields

  • Map name, job title, department, phone, mobile, office, photo and pronouns to template tokens.
  • Missing fields collapse their own line instead of leaving a gap or a visible token.
  • Per-person overrides for the cases a directory cannot express, such as a second qualification after a name.
  • Field changes flow through on the next rollout, so a promotion is a directory edit, not a design task.

Deployment

Groups, rollout and rollback

  • Groups by department, office, country, entity or an explicit list.
  • Deploy to one group at a time, or to everyone, from the same screen.
  • Per-person preview before deployment, in Outlook, Gmail, Apple Mail and mobile.
  • Rollout history with who changed what and when: 30 days on Team, 12 months on Business, 24 months on Scale.
  • One-click rollback of a template set to any earlier version.
  • Reply-aware signatures on Business and above: the full block on the first message, a short one on replies.
  • Mobile enforcement for iOS and Android mail apps on Business and above.
  • API and webhooks for joiner, mover and leaver events on Scale and above.

Platform coverage

  • Google Workspace, including Gmail on the web and org unit structure.
  • Microsoft 365, including Outlook on Windows and Mac, the new Outlook and Outlook on the web.
  • Exchange Online, alongside your existing mail flow rules if you keep them.
  • Both platforms in one account, which is the normal state of a company after an acquisition.

Marketing and compliance

Banner campaigns

  • Scheduled start and end dates, so a campaign expires by itself.
  • Targeting per group, so a recruiting banner goes out from the teams that are hiring.
  • Click tracking per campaign, to see whether company email is a channel worth using.
  • Ten campaigns at a time on Business, unlimited on Scale.

Disclaimer rules

  • One company-wide disclaimer block on Team.
  • Multiple rules by country, entity and department on Business and above.
  • Text held centrally, so a wording change from legal is one edit.
  • Rollout history as the record of when a rule was applied and to whom.

Roles, approvals and the audit trail

  • Separate roles: marketing edits banners, IT owns templates and deployment.
  • Approval workflow before a template or banner goes live, on Scale and above.
  • Admin seats: 2 on Team, 6 on Business, 20 on Scale, unlimited on Enterprise.
  • SSO with SAML and user provisioning with SCIM on Enterprise.
  • Audit export and a choice of data residency on Enterprise.
  • Scoped permissions in your own tenant, revocable by you at any time.
  • Message bodies are never read, never stored and never routed through us.
