The console
Templates
The template list holds your sets, each one a layout plus the brand and the blocks you switched on. You edit a set in the studio and see the rendered signature update as you type, with directory tokens showing real values from a chosen person rather than grey boxes.

Directory
The directory screen shows the mailboxes read from your tenant with the fields mapped to template tokens. Mapping is a single screen: your field on the left, the token on the right, a preview of one person on the bottom.
- Map name, title, department, phone, mobile, office, photo and pronouns once.
- See at a glance which people have a field missing, before that blank lands in a signature.
- Fall back gracefully: an empty field removes its line rather than leaving a gap or a token.
Groups
Groups decide who gets which template. Build them from the attributes your directory already carries: department, office, country, entity, or an explicit list for the cases that fit no rule.
Rollout
The rollout screen is the one that changes mailboxes. It shows the target group, the mailbox count, the platform, and the signature each person will receive, and it keeps the result as a version.

Boundaries, written down
- It does not route your mail. Messages go from your tenant to the recipient as they do today.
- It does not read message bodies. It reads directory fields and writes signatures.
- It does not install anything on employees' computers.
- It does not need a permanent admin session. Permission is scoped, visible in your tenant and revocable there.
The same console, two platforms
For Microsoft tenants the manager writes to the mailbox and keeps the signature visible in Sent Items, and it can complement your existing mail flow rules rather than fight them. For Google tenants it sets the signature per send-as address and follows your org unit structure.

Email signature manager questions
How much does an email signature manager cost?
Most email signature managers are priced per user per month on annual billing. List prices in September 2026 run from $0.88 at BulkSignature and $0.90 on Exclaimer Starter to $2 at Letsignit, usually with a 10 user minimum. AutoSignature is flat instead: $99 a month up to 25 mailboxes, $299 up to 150 and $799 up to 600.
What is the best email signature manager for Office 365?
For a Microsoft 365 only company that wants the lowest per user price and is comfortable with mail routed through a vendor service, CodeTwo. For large marketing programs, Exclaimer. For signatures written straight to each mailbox with no add-in and no mail routing, on a flat bill that also covers Google Workspace, AutoSignature.
Is there an email signature manager for Gmail?
Yes. Google Workspace has no central signature editor of its own beyond an appended footer, so companies use a manager that sets the real Gmail signature for every user and send-as address through the Workspace admin connection. AutoSignature does this on every plan, with the same templates it uses for Microsoft 365.
Does Microsoft 365 have a built-in email signature manager?
Not a full one. Microsoft 365 offers mail flow rules that append a disclaimer on the server, which admins often use as a company signature. Those rules cannot show the signature while the user writes, place it under a reply, or pull each person's details reliably, which is why companies add a dedicated manager.
Do I need an Outlook add-in for an email signature manager?
No. Some managers use an Outlook add-in and some route mail through their own cloud, but a manager can also write the signature directly to each mailbox through the Microsoft 365 admin connection. That is how AutoSignature works, so there is nothing to deploy to computers and nothing to break when Outlook updates.
