SyncSignature publishes a clean per seat price and a low 5 seat minimum, which is why it lands on a lot of small company shortlists. The catches are that it bills only yearly and stops publishing a price at 100 seats. Here is what a team actually pays, and where it stops being the cheapest option.

SyncSignature's Team plan costs $2 per user a month from 5 to 25 seats, $1.60 from 30 to 60 and $1.44 from 70 to 100, all charged once a year. That is $600 a year for 25 people, $960 for 50 and $1,728 for 100. Solo is $6 a month for one person, a free plan covers one signature, and anything over 100 seats is quoted. There is no monthly billing. It deploys through an Outlook add-in on Microsoft 365 and writes directly to Gmail on Google Workspace.

How much does SyncSignature cost per user

Two rows are close. At 25 seats the totals are within $12 a year, and at 100 seats within $60. Everywhere else in the published range SyncSignature costs less, by a wide margin at 5 to 10 seats and at 50. The picture changes past 100 seats, where SyncSignature stops publishing and our Business plan still covers up to 150 mailboxes for the same $1,788. For a company, only the Team row matters. Solo and Free are personal tools, and a team that tries to run on them ends up with each person installing their own copy, which is exactly the problem central signature software exists to solve.

Four things that change the SyncSignature bill

It is one invoice a year
Every paid plan is charged annually. SyncSignature lets you cancel from the admin panel and states a 30 day refund window, but after that the year is paid. Because the whole year lands at once, it is the kind of renewal worth putting on a calendar or behind an alert on software spend so it does not renew unnoticed.
Hiring moves you between bands
The rate follows the seat count. Growing from 25 to 30 people drops the rate to $1.60 and the monthly total from $50 to $48, so growth can briefly cost less. Growing past 100 moves you into a quote.
Outlook needs the add-in to arrive
On Microsoft 365 the signature is stamped by an Outlook add-in pushed through Centralized Deployment, which SyncSignature says takes 6 to 12 hours to reach every user. Mail sent from a client where the add-in does not run goes out without it.
No escalation clause, in writing
SyncSignature says the per seat rate stays the same at renewal and calls this policy rather than a contract term. If price stability matters, ask for it in the order form.

When SyncSignature pricing is the right call, and when it is not

Pay it if

You have 5 to 20 people, or 30 to 90, and an annual invoice suits your finance team. In those ranges SyncSignature is one of the cheapest tools that still syncs your directory and covers both Gmail and Outlook. Its 5 seat minimum also beats the 10 user floor at Exclaimer and CodeTwo, so very small teams are not paying for empty seats.

Look elsewhere if

You need to pay monthly, you are past 100 people and want a published number, or your IT team would rather not rely on an Outlook add-in. Is SyncSignature free?

Only for one person. The free plan gives a single user one signature they can edit, installed by copy and paste, with no directory sync or central deployment. Anything a company would use to manage several employees is on the paid Team plan, which has a 7 day free trial with no card.

Does SyncSignature have a monthly plan?

No. SyncSignature shows its prices per month for readability but charges every paid plan as a single annual invoice. You can cancel from the admin panel without notice, and it states a 30 day refund window from the start of the subscription. AutoSignature offers both monthly and yearly billing.

What is the minimum number of users for SyncSignature?

Five. The Team plan has a 5 seat minimum, so the smallest team invoice is $10 a month, or $120 a year. Below five people SyncSignature points buyers to the Solo plan at $6 a month per signature. That is a lower floor than Exclaimer and CodeTwo, which both require 10 users.

How does SyncSignature add signatures in Outlook?

Through an Outlook add-in. The Microsoft 365 admin approves it once under Centralized Deployment and Microsoft pushes it to each user's Outlook on desktop, web and mobile, which SyncSignature says takes 6 to 12 hours. Employee details come from Entra ID over Microsoft Graph. On Google Workspace it writes signatures to Gmail directly.

Does SyncSignature raise prices at renewal?

SyncSignature says it has no annual escalation clause, so the per seat rate you sign at stays the same at renewal. The rate can still change if your seat count moves into a different band, because the discount follows the number of seats, not how long you have been a customer.
