Email signature software cost per user at 10 vendors and four company sizes
Every vendor quotes a small number per user, and almost none of them bill you that number. Minimum seats, base fees, annual terms and volume steps sit between the price page and the invoice. Below are ten vendors on one basis, with the yearly total at 25, 50, 100 and 250 mailboxes, and the sizes where a flat company plan costs less or more than each of them.
| Group | Mailboxes | Status |

The short answer
Email signature software costs between $0.55 and $2 per user a month at list price, in most cases on annual billing. Exclaimer Starter is the lowest bill at 25 to 100 mailboxes at $0.90 per user, Xink is the lowest at 250, and Letsignit and SyncSignature sit at the top at $2. A flat company plan costs more than the cheapest per user tools below about 100 mailboxes and less than Exclaimer Standard, Exclaimer Pro, Letsignit or WiseStamp Grow once the band fills up. AutoSignature works out to $0.99 per user at 150 mailboxes and $0.67 at 600.

List prices in US dollars from each vendor's own price page or calculator, as we recorded them in September and October 2026. The four right hand columns are what a company actually pays in a year, with minimums and base fees applied.
| Vendor and plan | List price per user a month | Billing and minimum | Year at 25 | Year at 50 | Year at 100 | Year at 250 |
|---|---|---|---|---|---|---|
| Exclaimer Starter | $0.90 | Annual, 10 user minimum, one template | $270 | $540 | $1,080 | $2,700 |
| Exclaimer Standard | $1.45 | Annual, 10 user minimum | $435 | $870 | $1,740 | $4,350 |
| CodeTwo | $1.22, down to $0.76 at 450 | Annual, 10 license minimum, Microsoft 365 only | $366 | $726 | $1,332 | $2,730 |
| WiseStamp Grow | $1 plus a $49 base fee | Annual, 3 seat minimum | $888 | $1,188 | $1,788 | $3,588 |
| Letsignit | $2 | Annual only, minimum not published | $600 | $1,200 | $2,400 | $6,000 |
| Xink | $1.10, down to $0.55 at 300 | Monthly or annual at the same rate, steps of 10 users | $396 | $624 | $1,116 | $1,704 to $1,980 |
| Templafy | $1.25 | $15 per user per year, 1 to 3 year terms | $375 | $750 | $1,500 | $3,750 |
| SyncSignature Team | $2, down to $1.44 at 70 | Annual only, 5 seat minimum | $600 | $960 | $1,728 | Quoted above 100 |
| SignatureSatori | $1.11, down to $0.58 at 500 | Monthly, 5 user minimum, Gmail only | $321 | $612 | $1,116 | $1,896 to $2,484 |
| Dynasend | $1.00 from 51, down to $0.55 | Monthly, flat $50 up to 50 active signatures, Microsoft 365 only | $600 | $600 | $1,200 | $2,370 |
| Opensense Signature | $1 | $500 a month minimum on every plan | $6,000 | $6,000 | $6,000 | $6,000 |
| AutoSignature | Flat, not per user | Yearly, or monthly at twice the rate | $588 (Team) | $1,788 (Business) | $1,788 (Business) | $4,788 (Scale) |
Xink bills 25 users as 30. Xink and SignatureSatori publish sliding rates, and the 250 column shows their totals at 200 and at 300 users, the two sizes we recorded either side of it.
Read plainly, our flat plan is not the cheapest line at any of these four sizes. At 25 mailboxes it beats Letsignit, SyncSignature and Dynasend by $12 a year and WiseStamp Grow by $300, and loses to everyone else. At 50 it is the most expensive row except Opensense, because 50 people sit at the bottom of a band built for 150. At 100 it ties WiseStamp Grow and is $48 above Exclaimer Standard. At 250 it undercuts Letsignit by $1,212 and costs $438 more than Exclaimer Standard. The flat plan earns its keep at the top of each band, which the next table shows.
What a flat plan works out to per user
| Mailboxes | AutoSignature plan, billed yearly | Per year | Effective per user a month | Exclaimer Standard per year |
|---|---|---|---|---|
| 25 | Team, $49 a month | $588 | $1.96 | $435 |
| 50 | Business, $149 a month | $1,788 | $2.98 | $870 |
| 100 | Business, $149 a month | $1,788 | $1.49 | $1,740 |
| 150 | Business, $149 a month | $1,788 | $0.99 | $2,610 |
| 250 | Scale, $399 a month | $4,788 | $1.60 | $4,350 |
| 600 | Scale, $399 a month | $4,788 | $0.67 | $10,440 |
The effective rate is the plan price divided by the mailboxes you have, so it swings from $2.98 to $0.99 inside one band. Monthly billing is $99, $299 and $799, twice the yearly figures. The full plan list is on our email signature software pricing page.
What moves the per user price
Six things turn the number on the price page into a different number on the invoice. Check each one against the quote before you compare vendors.
Minimum seats and spend floors
Exclaimer and CodeTwo start at 10 users, SyncSignature and SignatureSatori at 5, WiseStamp at 3. Xink sells in steps of 10. The outlier is Opensense, whose $500 monthly minimum makes the $1 plan cost $20 per user at 25 people and $5 at 100. The detail is in Opensense pricing.
Annual or monthly billing
Most headline rates are annual. CodeTwo charges about 10 percent more by the month, $1.36 against $1.22 at 25 users. Letsignit and SyncSignature sell yearly terms only, and Templafy runs one to three years. Xink and Dynasend bill monthly with no contract.
Volume steps
CodeTwo falls from $1.22 to $1.11 at 100 users and $0.76 at 450. Xink falls from $1.10 to $0.55 at 300. Dynasend re-rates the whole count at each tier line, so 250 active signatures cost $0.79 each. If you expect to hire, price the size you will be in a year.
Tiers that gate deployment and analytics
Exclaimer Starter holds one template, and analytics, vCards and CRM connections sit in Pro at $1.75. On WiseStamp, server side deployment and SSO start on Platform, which lifts the base fee from $49 to $189 a month. Opensense puts scheduled banner campaigns in its $3 tier.
Base fees and add-ons
WiseStamp Grow is $1 per employee plus $49 a month, so a 25 person company pays $74 a month, which is $2.96 per user. Letsignit sells its PowerPoint module as a second $2 line. Ask whether setup or onboarding is charged separately, and get the answer in the quote.
What counts as a user
CodeTwo licenses every shared mailbox that sends signed mail, so info@ and billing@ are seats. Exclaimer bills active mailboxes. Dynasend counts only people who sent mail with their signature that month. Count mailboxes, not employees, before you multiply.
Platform coverage changes the math too. CodeTwo and Dynasend cover Microsoft 365 only and SignatureSatori covers Gmail only, so a company running both needs a second tool or a vendor that handles both. Templafy works on Google Workspace with limits. What a full product should include is laid out on our email signature management software page.
Per user vs flat company pricing
A per user bill is a straight line that rises with headcount. A flat plan is a staircase. Our steps are 25, 150 and 600 mailboxes at $49, $149 and $399 a month on yearly billing, so the flat plan wins wherever the line has climbed above the step you are standing on. Divide the step price by the vendor's rate and you get the break-even mailbox count.
Against Exclaimer Standard at $1.45, $149 divided by $1.45 is 102.8, so the Business plan is cheaper from 103 to 150 mailboxes, and Scale from 276 to 600. Between 151 and 275, Exclaimer Standard costs less. The gap at 600 is $5,652 a year in our favor.
If you are the finance or IT lead who tracks every subscription the company pays for, put the signature tool in the same view as the rest of your SaaS spend, because a line that grows by a dollar or two with each hire is the kind nobody notices until renewal.
Per month at 150 mailboxes
| Compared with | Their rate | Flat plan is cheaper at | They are cheaper at |
|---|---|---|---|
| Exclaimer Standard | $1.45 per user | 103 to 150 and 276 to 600 mailboxes | Up to 102 and 151 to 275 |
| Exclaimer Pro | $1.75 per user | 86 to 150 and 229 to 600 | Up to 85 and 151 to 227 |
| Letsignit | $2 per user | 25, 75 to 150 and 200 to 600 | Up to 24, 26 to 74 and 151 to 199 |
| WiseStamp Grow | $49 plus $1 per user | Up to 25, 101 to 150 and 351 to 600 | 26 to 99 and 151 to 349 |
| CodeTwo | $1.22 down to $0.76 | None of the sizes we priced | Every size we priced from 10 to 450, by $0.50 a month at 150 |
The last row matters. A Microsoft 365 only company that just wants the lowest bill should buy CodeTwo, Xink or Dynasend, and the trade offs are on our CodeTwo alternative page. A flat plan is the better buy for a company near the top of a band, a company that is hiring and wants a fixed budget line, and a company with both Outlook and Gmail. See the Exclaimer alternative and WiseStamp alternative pages for the feature side, and Exclaimer pricing and CodeTwo pricing for more sizes.

Cost per user questions
How much does email signature software cost per user?
Most email signature software lists between $0.55 and $2 per user a month, usually on annual billing. Exclaimer is $0.90 to $1.75, CodeTwo is $1.22 falling to $0.76 with volume, Letsignit is $2 and Xink is $1.10 falling to $0.55. Minimums of 5 to 10 users are common, and Opensense sets a $500 monthly floor.
What is the cheapest email signature software for a small business?
At 25 mailboxes the lowest published bill among the ten vendors here is Exclaimer Starter at $270 a year, then SignatureSatori at $321 for Gmail only companies and CodeTwo at $366 for Microsoft 365 only. Starter allows a single template, so a company with several departments usually ends up on Standard at $435.
Is Exclaimer priced per user?
Yes. Exclaimer charges per active mailbox per month, at $0.90 on Starter, $1.45 on Standard and $1.75 on Pro, billed annually, with a 10 user minimum and Enterprise quoted. A 100 mailbox company pays $1,080, $1,740 or $2,100 a year, and the bill grows with every mailbox that gets a signature.
Does CodeTwo charge per user or per mailbox?
Both, in effect. A CodeTwo license covers one user or one shared mailbox whose mail goes through its service or uses its Outlook add-in. On annual billing a license costs $1.22 a month at 10 to 25 licenses, $1.11 at 100 and $0.91 at 250, with a 10 license minimum. It covers Microsoft 365 only.
Is there email signature software with flat pricing?
Yes. AutoSignature charges one price per company by mailbox band, which is $49 a month billed yearly for up to 25 mailboxes, $149 for up to 150 and $399 for up to 600. Dynasend also charges a flat $50 a month for up to 50 active signatures, then switches to a per signature rate.
How much does email signature software cost for 1,000 to 10,000 employees?
On list price, a per user tool at 1,000 employees runs about $6,600 to $24,000 a year, and ten times that at 10,000. Exclaimer, for example, is $10,800 a year on Starter and $21,000 on Pro at 1,000 mailboxes, before any Enterprise discount. Most vendors quote above 500 users, so ask for a written volume price. AutoSignature Enterprise is $8,988 a year with no mailbox limit.
The per user math gets simple at this size and that is the problem: every new hire adds to the bill. A flat plan stops counting heads, which is why the enterprise plan is priced per company rather than per mailbox.
Is monthly billing more expensive than annual billing for email signature software?
Usually. CodeTwo's monthly rate is about 10 percent above its annual rate, and AutoSignature's yearly billing is half its monthly price. Letsignit and SyncSignature sell annual terms only, while Xink and Dynasend charge the same rate month to month with no contract. Check which of the two the headline price refers to.
One flat bill instead of a price per head
Team is $99 a month for up to 25 mailboxes, Business is $299 for up to 150 and Scale is $799 for up to 600, with 50 percent off on yearly billing. Google Workspace and Microsoft 365 on every plan, signatures written to the mailbox, no add-in and no mail relay.
