Gmail signature management for every user and every send-as address

Gmail keeps the signature in each user's own settings, which makes it personal by design. Managing it centrally means writing the right signature into each account from a template, and keeping it right when the person, the brand or the campaign changes.

What changes

From every person setting their own, to one template

Today someone in your company has a signature with a quote in it, someone else has one with three phone numbers, and someone new has none. After a rollout, all of them have the same layout with their own details, and the next change reaches all of them at once.

  • Name, job title, department, phone, office and photo are filled from directory profiles.
  • Groups follow your org units, so the sales team and the legal team can differ where it matters.
  • Each send-as address takes a template, so a person answering from a shared address signs as that address.
  • The short mobile variant covers the Gmail app, where five lines is already too many.
  • Reply-aware templates keep threads readable.

How to manage Gmail signatures without asking people to do it

No instructions, no screenshots of the settings screen, no follow-up email to the people who ignored the first one. You deploy to an org unit and the signatures are set. The full sequence is in manage Gmail signatures in Google Workspace.

What Gmail does to a signature, and how the template handles it

  • Gmail places the signature under the message and above the quoted text when the account is set that way, which is where readers look for it.
  • Images must be hosted and linked, so logos are served at the size and density the client expects rather than pasted in.
  • Gmail strips some CSS, so the template is table-based with inline styles, the structure mail clients render predictably.
  • Long signatures get clipped in the thread view, which is an argument for the compact layouts and the mobile variant.
  • The studio previews Gmail on the web and mobile before you deploy anything.

Questions from Workspace admins

Is this different from the Workspace page?

The Google Workspace email signature management page covers the tenant connection and org units. This page is about Gmail itself, the client people actually look at.

What about users who answer from several addresses?

Each send-as address can take its own template. That is the normal setup for a support address, a billing address or a second brand.

Can we run Gmail and Outlook side by side?

Yes, in one account and with one template set. The Microsoft side is on the Outlook signature manager page.
