Signature 365 pricing and cost per user for 10 to 500 users
Symprex sells Signature 365 at one price with every feature in it, but the price only appears after you drag a slider to your headcount. Review sites quote the 10 user rate and stop there. We read the whole table behind the slider, so here is what a 25, 100 or 250 person company pays on each billing option.

The short answer
Signature 365 charges by headcount from 10 to 500 users, in steps of 5. On monthly billing its calculator shows $9.40 a month for 10 users, $45.50 for 50, $85 for 100, $175 for 250 and $300 for 500, so the rate falls from $0.94 to $0.60 per user. Annual billing is 20 percent lower: $816 a year for 100 users, or $0.68 per user a month. Above 500 users the price is quoted. It covers Microsoft 365 only, and it is cheaper than AutoSignature at every size it publishes.
How much does Signature 365 cost per user
The per user rate drops in small steps as headcount grows. Each row below is one point on Symprex's slider, with the monthly billing rate and the annual billing rate side by side. The annual bar is always 20 percent shorter.
Read from the calculator on the Signature 365 pricing page on October 15, 2026. The calculator uses the same figures with a dollar sign for US visitors and a euro sign in Europe; an archived US copy from June 2026 shows the identical table in dollars.

There is no row where we are cheaper, and you should know that before any call. The narrowest gap in dollars is at 25 users, $365 a year. In proportion it is 150 users, where Signature 365 on annual billing is about two thirds of our Business price. If your whole company is on Microsoft 365 and price is the deciding line, Signature 365 is one of the lowest bills in the category. On monthly billing our plans are $99, $299 and $799.

Five things that change the Signature 365 bill
Annual saves 20 percent
Unlike Xink, where annual is just twelve months on one invoice, Symprex takes a fifth off for yearly billing. At 100 users that is $204 a year.
Card or invoice
Monthly plans are paid by card and renew on their own. Annual plans can be paid by bank transfer against an invoice, which suits a finance team that routes every vendor bill through its accounts payable software. Invoice plans do not auto renew, so diary the renewal order.
Adds now, removals later
New licenses take effect at once and are prorated to the cycle. Removed licenses drop off only at the end of the cycle, so an annual plan pays for leavers until renewal.
Sector discounts on request
Healthcare, education, government and nonprofit buyers get extra discounts, as do Symprex partners and existing Email Signature Manager customers. The amounts are not published.
Steps of 5, floor of 10
The slider starts at 10 users and rounds up to the next 5. Hiring the 101st person moves a monthly bill from $85 to $89.25. The steps are small, and the rate per user keeps falling all the way to 500.
What you are paying for, and how it reaches Outlook
Signature 365 is a cloud portal for Microsoft 365 and Office 365. You build templates there, pull contact details and headshots from your directory, add disclaimers by department or user, and run banner and survey campaigns with click and impression tracking. Every feature is in the one price; there is no starter tier.
It applies signatures three ways: client side through an Outlook add-in you deploy from the Microsoft 365 admin center, server side, or both together. Symprex says mail does not have to be sent through its servers and that it has no access to message content, even in server side mode. It lists ISO 27001, ISO 27018 and SOC 2 Type II.
Support is by email and phone from 8 AM to 8 PM UK time on weekdays, with a 24 hour response target. For a US team on the West Coast, that window closes at noon.
Covered
- Microsoft 365 and Office 365 mailboxes
- Outlook on Windows, Mac, web and mobile
- Disclaimers by department or user
- Banners, surveys and campaign tracking
- Directory details and headshots
Not covered
- Google Workspace and Gmail
- On premises Exchange, which is a separate Symprex product
- A published price above 500 users
How AutoSignature differs
We write the approved signature straight into each Microsoft 365 and Google Workspace mailbox from directory fields. There is no add-in to deploy and no mail relayed, and one plan covers a company split across both platforms. The price is flat per band rather than per user, so a hiring spree inside the band does not move the bill.
When Signature 365 pricing is the right call, and when it is not
Pay it if
Every mailbox is on Microsoft 365, you have between 10 and 500 people, and you can commit to a year to get the 20 percent off. You get every feature at one rate, campaign tracking included, and a bill that is lower than CodeTwo or Exclaimer at the same size.
Look elsewhere if
Part of the company is on Gmail, you need support during US business hours, or you want one fixed number for the year that does not move with headcount. AutoSignature covers Microsoft 365 and Google Workspace on every plan and up to 600 mailboxes on Scale for $4,788 a year. Platform details are on Office 365 email signature management and Google Workspace email signature management.

On list price Signature 365 beats both at 50 users, by about $290 a year against CodeTwo and $433 against Exclaimer Standard. What our higher number buys is a signature with no add-in and no relay, Gmail on the same plan, locked legal blocks by group and one step rollback. If none of those are on your list, choose from the rows above. The breakdowns are in CodeTwo pricing, Exclaimer pricing and Xink pricing.

Signature 365 pricing questions
How much does Signature 365 cost?

On monthly billing it shows $9.40 a month for 10 users, $45.50 for 50, $85 for 100, $175 for 250 and $300 for 500, so the rate falls from $0.94 to $0.60 per user. Yearly billing is 20 percent lower, and above 500 users the price is quoted.
Is Signature 365 cheaper on an annual plan?
Yes, by 20 percent. A 100 user company pays $85 a month, or $1,020 a year, on monthly billing and $816 a year on annual billing, which works out to $0.68 per user a month. Annual plans can also be paid by bank transfer against an invoice; monthly plans are card only.
What is the minimum number of users for Signature 365?
The calculator starts at 10 users and moves in steps of 5, so a 7 person team pays the 10 user price of $9.40 a month and a 23 person team pays the 25 user price of $23.25. Added licenses are prorated and take effect at once; removed licenses drop off at the end of the billing cycle.
Does Signature 365 have a free trial?
Yes. Symprex offers a 14 day trial with no credit card and no commitment, and the configuration you build during the trial carries over if you buy. All features are in the one price, so the trial shows the whole product rather than a starter tier.
Does Signature 365 work with Google Workspace?
No. Signature 365 is built for Microsoft 365 and Office 365 only. Symprex sells a separate product, Email Signature Manager, for on premises Exchange. A company with some mailboxes on Gmail needs a second tool or a vendor that covers both platforms on one plan.
