Exclaimer vs Signature 365 pricing and features at 10 to 500 users

One is the best known name in email signatures, the other is the quiet Microsoft 365 specialist from Symprex that keeps turning up on shortlists because of its price. Before you book two trials, here is what each one costs a year at your headcount, and the handful of differences that should decide it.

The short answer

Signature 365 is cheaper than every Exclaimer plan at every size either vendor publishes. At 100 users on annual billing it costs $816 a year, against $1,080 for Exclaimer Starter and $1,740 for Standard, so $924 a year less than the plan most companies with several teams need. The main difference beyond price is platform coverage: Exclaimer handles Microsoft 365 and Google Workspace, while Signature 365 is Microsoft 365 only.

Exclaimer vs Signature 365 yearly cost at eight team sizes

Every figure is a list price for a full year on annual billing, the term most IT budgets sign. The last column is how much more Exclaimer Standard costs than Signature 365, because Standard is where most buyers land once they need a second template.

Exclaimer prices from exclaimer.com/pricing, read on October 23, 2026 and unchanged since October 14: $0.90, $1.45 and $1.75 per user a month, billed annually, times twelve. Signature 365 figures from the pricing slider on the Symprex site at the annual billing rate, which is 20 percent below monthly billing. On monthly billing Signature 365 at 100 users is $1,020 a year. The full breakdowns are in Exclaimer pricing by plan and Signature 365 pricing at eight sizes.

Even Starter, Exclaimer's single template plan, costs more than Signature 365 at every row. The gap to Starter is small at the bottom, $17.76 a year at 10 users, and widens to $2,520 at 500, because Symprex's rate per user keeps falling with volume while Exclaimer's stays flat.

What Symprex says on its own comparison page

Symprex publishes a Signature 365 vs Exclaimer page on symprex.com. It is useful because it names the points Symprex thinks it wins on, but it is a vendor page about a competitor, so treat every row as a claim to check in your trial rather than a finding.

One more thing to know about that page. It lists Exclaimer in euros, at lower numbers than Exclaimer's own US pricing page. For a US buyer those figures understate the bill, so every Exclaimer number in this article comes from Exclaimer's own US prices. Exclaimer's own pricing page simply says 24/5 support on every plan, so ask which channels your plan includes before you count on a phone line.

Minimums and billing terms that move the real number

Both vendors set a floor of 10 users, so a 6 person office pays for 10 on either. After that they count differently. Exclaimer licenses by active mailbox, which means shared inboxes such as sales@ or accounts@ that send mail with a signature are on the bill. Count mailboxes in the Microsoft 365 admin center, not heads in HR.

Signature 365 rounds up to the next step of 5 on its slider. A 23 person company pays the 25 user price. Added licenses are prorated and take effect at once, while removed ones drop off only at the end of the cycle, so an annual plan pays for leavers until renewal.

The term is where the two really part ways. Symprex takes 20 percent off for paying a year up front and also sells month to month, which makes a short pilot cheap. Exclaimer says monthly billing exists, but its page shows no monthly rates, and Symprex claims Exclaimer's minimum subscription is 12 months. If flexibility matters, get the monthly price and the commitment length from Exclaimer in writing.

Setup and design and the path your mail takes

Getting started

Both connect to your Microsoft 365 tenant, read names, titles and phone numbers from the directory and offer a 14 day trial. Signature 365 has one plan with every feature, so the trial shows the whole product. Exclaimer trials let you see the higher tiers, which helps you decide whether Starter's single template is enough.

Who edits the template

Exclaimer's drag and drop editor is friendly to a marketing coordinator who never wants to see HTML. Signature 365 offers a visual editor too, plus a source code view, which an IT admin will appreciate when a table cell renders badly in one version of Outlook and the fix is two lines of markup.

Where outbound mail goes

Server side signatures that relay mail through a third party service put that vendor between your domain and the recipient. Most teams accept it, but your security reviewer will ask, and SPF and DMARC need to be right. If you go that route, add email blacklist monitoring for your sending domain so a reputation problem shows up before sales notices replies drying up.

On third party ratings the two sit close. On G2's compare page at the time of writing, Exclaimer has 4.5 of 5 from about 1,339 reviews and Signature 365 has 4.7 of 5 from about 291. The higher Signature 365 score comes from a much smaller sample, so read recent reviews from companies your size rather than the average.

When to pick Exclaimer and when to pick Signature 365

Pick Exclaimer if

Some of your mailboxes are on Google Workspace, marketing wants the Pro dashboards and Salesforce or HubSpot data in the signature, or procurement prefers the largest vendor in the category with its security paperwork on file. You pay more for it, and at 100 users on Standard that premium is $924 a year.

Pick Signature 365 if

Every mailbox is on Microsoft 365, price decides it, and UK business hours support works for your team. You get every feature in one plan, a monthly option for a pilot, a source code editor, and Symprex's position that your mail does not pass through its servers. For a West Coast team, note the support window closes at noon local time.

When neither fits

You run Gmail and Outlook side by side and want one flat bill rather than one that moves with every hire. That is the case we built for. See Office 365 email signature management or how we compare as an Exclaimer alternative. If CodeTwo is your third quote, CodeTwo vs Signature 365 pricing runs the same math.

Where AutoSignature lands next to both

Plainly, Signature 365 is cheaper than us at every size it publishes, and Exclaimer Starter is cheaper at most of them. Our plans on yearly billing are Team at $588 for up to 25 mailboxes, Business at $1,788 for up to 150 and Scale at $4,788 for larger teams.

UsersSignature 365Exclaimer StarterExclaimer StandardAutoSignature
25$223.20$270$435$588 (Team)
100$816$1,080$1,740$1,788 (Business)

500$2,880$5,400$8,700$4,788 (Scale)

We come out ahead of Exclaimer Standard at 150 users and of every Exclaimer plan at 500, never ahead of Signature 365. What a higher number buys with us is Microsoft 365 and Google Workspace on the same plan, at a price that stays fixed anywhere inside the band. If your company is Outlook only and that flat bill is not on your list, Signature 365 is the better buy. For more vendors at the same sizes, see email signature software cost per user, and our plan limits are on the pricing page.

Exclaimer vs Signature 365 questions

Is Signature 365 cheaper than Exclaimer?

Yes, at every size both vendors publish. On annual billing a 100 user company pays $816 a year for Signature 365 against $1,080 for Exclaimer Starter, $1,740 for Standard and $2,100 for Pro. Against Standard, the plan most companies with more than one team end up on, that is $924 a year, or about 53 percent, less.

How much does Exclaimer cost per user?

Exclaimer lists $0.90 per user a month on Starter, $1.45 on Standard and $1.75 on Pro, all billed annually, with Enterprise priced by quote. There is a 10 user minimum and licensing counts active mailboxes. For 100 users that comes to $1,080, $1,740 or $2,100 a year depending on the plan.

How much does Signature 365 cost per user?

Signature 365 costs $0.94 per user a month on monthly billing at 10 users, falling to $0.60 at 500. Annual billing is 20 percent lower, so 100 users pay $816 a year, which is $0.68 per user a month. The slider starts at 10 users, moves in steps of 5 and is quoted above 500.

Does Exclaimer work with Google Workspace?

Yes. Exclaimer covers Microsoft 365 and Google Workspace on Starter, Standard and Pro, so a company with mailboxes on both can run one tool. Signature 365 does not. It is built for Microsoft 365 only, and Symprex sells a separate product, Email Signature Manager, for on premises Exchange.

Does Signature 365 route email through its servers?

Symprex says it does not. When the signature is added in Outlook, mail leaves Microsoft 365 as normal, and Symprex says it has no access to message content even in server side mode. By Symprex's account, Exclaimer routes all mail through its own service when you run it in combined mode.

Which is easier to set up, Exclaimer or Signature 365?

For a company that is all Microsoft 365, the setup effort is similar. Both connect to your tenant, pull contact details from the directory and offer a 14 day trial. Exclaimer's drag and drop editor suits a marketer, while Signature 365 adds a source code editor for IT staff who want to edit the HTML by hand.

Can I pay Exclaimer monthly?

Exclaimer says monthly billing is available, but its pricing page lists only the annual rates of $0.90, $1.45 and $1.75, so the monthly figure needs a quote. Symprex's comparison page also states a 12 month minimum subscription for Exclaimer against one month for Signature 365, so confirm the term in writing.
