CodeTwo vs Signature 365 pricing and features for Microsoft 365 at 10 to 500 users

If your company runs entirely on Microsoft 365, these two usually end up on the same shortlist. Both sell one plan with every feature, both start at 10 users, both quote above 500. The bills are not close, though, and the way each one puts a signature on your mail is different. Here are the yearly totals at your headcount and the differences worth checking before you start a trial.

The short answer

Signature 365 is cheaper than CodeTwo Email Signatures 365 at every size either vendor publishes. On annual billing, 100 users pay $816 a year for Signature 365 and $1,332 for CodeTwo, about 39 percent less. CodeTwo answers that gap with round the clock support and a server side mode that relays mail through its Azure service, while Signature 365 supports UK business hours and says your mail does not have to touch its servers. Neither covers Google Workspace.

How wide the gap gets as you grow

Each pair of bars is one company size on annual billing, drawn to the same scale. The longest bar is CodeTwo at 500 users. In dollars the difference grows with every hire, from $142.80 a year at 25 users to $1,500 at 500.

Both vendors discount for paying a year up front, so the first table is the number most IT budgets will see. The second shows the same sizes on monthly billing, which suits a pilot or a company in the middle of a merger.

CodeTwo figures from the CodeTwo Email Signatures 365 pricing page, read October 19, 2026, per license per month times twelve. Signature 365 figures from the pricing slider on the Symprex site, read October 15, 2026; an archived US copy from June 2026 shows the same dollar amounts. Each vendor's full table is broken down in CodeTwo pricing and Signature 365 pricing.

Which is cheaper, CodeTwo or Signature 365

Signature 365, and the price lists are only part of the reason. The annual discount is twice as deep. Symprex takes 20 percent off for yearly billing, which is $204 a year at 100 users. CodeTwo's yearly plan saves about 10 percent, or $144 at the same size. A team that compares monthly prices first will underestimate how far apart the annual bills land.

The steps differ too. CodeTwo lists a per license rate that changes at set tiers: 10, 25, 50, 75 and 100 licenses, then every 25 up to 250 and every 50 up to 500. You buy the exact number of licenses you need. Signature 365 rounds your headcount up to the next multiple of 5 on its slider, so a 23 person company pays for 25. Both have a floor of 10, so a 6 person office pays for 10 on either.

Count your sending mailboxes before you request a quote. CodeTwo needs one license per user whichever signature mode you run, and shared mailboxes that send mail count as well. A reception or sales inbox can add several licenses to the number in your HR system.

Shrinking costs differently. At Symprex, added licenses are prorated and apply at once, while removed licenses drop off only at the end of the billing cycle, so an annual plan keeps paying for leavers until renewal. CodeTwo's minimum period is one month, which makes its monthly plan the more flexible choice for a short pilot.

Once a size is chosen, the last step is usually internal. Getting the quote approved and raising the purchase order through your procurement software goes faster when the request names the billing term, the license count and the renewal date.

CodeTwo vs Signature 365 features and deployment

Feature lists overlap heavily, because both sell one plan with everything in it. The rows that separate them are how the signature gets onto the message, who handles your mail on the way out, and when someone answers the phone. Our column is there for comparison.

The relay row matters most to security reviewers. CodeTwo's cloud mode is what gets signatures onto mail sent from phones and other clients without an add-in, and it means outbound mail passes through CodeTwo's service in Azure before delivery. Some teams accept that easily, others need it signed off. Symprex positions Signature 365 the other way, with no message content in its hands. If you are weighing CodeTwo against a third option, our Exclaimer vs CodeTwo pricing comparison runs the same exercise.

When to pick CodeTwo and when to pick Signature 365

Pick CodeTwo if

You need someone on the phone at 2 AM, you want every message signed whatever device sent it, and your security team is comfortable with outbound mail passing through a relay in Azure. You also get the longest trial, up to 21 days on as many as 1,000 mailboxes, which helps when the pilot group is large.

Pick Signature 365 if

Price is the deciding line, you can commit to a year for the 20 percent discount, and you would rather outbound mail not pass through a vendor's servers. Campaign tracking is included, finance can pay an annual plan by bank transfer against an invoice, and UK hours support is enough for your team.

When neither fits

Some of your mailboxes are on Gmail, you want no add-in and no relay at all, or you want one flat bill that does not move with each hire. That is the case we built for. See Google Workspace email signature management and Office 365 email signature management, or read how we compare as a CodeTwo alternative.

Where AutoSignature sits next to both

If your company is all Microsoft 365, we cost more than both at every listed size. Here is how far apart the numbers are, on yearly billing.

UsersCodeTwo, per yearSignature 365, per yearAutoSignature, per year
25$366$223.20$588 (Team)
100$1,332$816$1,788 (Business)
150$1,782$1,166.40$1,788 (Business)

At 150 users our Business plan is $6 a year above CodeTwo and still $621.60 above Signature 365. What the extra buys is one plan for Outlook and Gmail users together, a signature written into the mailbox with no add-in to deploy and no mail relayed, and a price that stays fixed anywhere inside the band. If none of that is on your requirements list, one of the two tools above is the better buy. For the same math across more vendors, see email signature software cost per user.

CodeTwo vs Signature 365 questions

Is Signature 365 cheaper than CodeTwo?

Yes, at every published size. On annual billing a 100 user company pays $816 a year for Signature 365 and $1,332 for CodeTwo Email Signatures 365, about 39 percent less. The gap is $142.80 a year at 25 users and $1,500 at 500 users. Both are Microsoft 365 only and both quote above 500 users.

How much does CodeTwo cost per user?

CodeTwo Email Signatures 365 costs $1.22 per user a month on yearly billing at 10 to 25 licenses, $1.11 at 100, $0.95 at 200 and $0.73 at 500. Monthly billing is about 10 percent higher, $1.36 at the low end. The minimum is 10 licenses, every feature is in the one plan, and above 500 the price is quoted.

How much does Signature 365 cost per user?

Signature 365 costs $0.94 per user a month on monthly billing at 10 users, falling to $0.60 at 500. Annual billing is 20 percent lower, so 100 users pay $816 a year, or $0.68 per user a month. The slider starts at 10 users and moves in steps of 5, and above 500 the price is quoted.

Does CodeTwo or Signature 365 route email through their servers?

CodeTwo does in cloud mode, which routes outbound mail through its service in Microsoft Azure in a region you pick; its Outlook mode uses an add-in instead. Symprex says Signature 365 mail does not have to pass through its servers and that it has no access to message content, even when signatures are applied server side.

Do CodeTwo and Signature 365 work with Google Workspace?

No. Both are built for Microsoft 365 only, and each vendor sells a separate product for on premises Exchange. A company with some mailboxes on Gmail would need a second signature tool for those users, or a vendor such as AutoSignature that covers Microsoft 365 and Google Workspace on the same plan.

Which has better support, CodeTwo or Signature 365?

On published hours, CodeTwo. It offers support by email and phone 24/7 with a 24 hour response time guarantee. Signature 365 support runs 8 AM to 8 PM UK time on weekdays with a 24 hour response target, so for a US West Coast team the phone window closes at noon local time.
