Architecture firm email signature software for architect titles and AIA designations
In a design studio the email signature is where a talented designer turns into a "Project Architect" two years before the license, and where an associate member's Assoc. AIA quietly loses its first word. AutoSignature holds titles and designations per person, adds the license line by state and writes one approved signature into every Outlook and Gmail mailbox.
Flat price per firm from $49 a month billed yearly, not per seat. Try the signature console on this page without an account.

The short answer
Architecture firm email signature software sets one approved signature for everyone in the studio, instead of letting each architect, designer and coordinator keep their own. It fills names, titles and phone numbers from your directory, holds AIA, Assoc. AIA and NCARB per person so nobody carries a designation they do not hold, adds the license line by state, and writes the result into each mailbox. New York, California, Florida and Texas all reserve the word architect for license holders. AutoSignature covers Microsoft 365 and Google Workspace on every plan, from $49 a month per firm billed yearly.
The top fine under California B&P 5536(a) for an unlicensed person who uses a title confusingly similar to architect, with up to a year in county jail

Designations staff can add to their own signature once AIA, Assoc. AIA and NCARB are held in the console
Can I call myself an architect in my email signature
Only if you hold a license in the state you are writing to. The New York State Education Department puts it in one line: "Only a person licensed in New York can call himself/herself an architect and offer architectural services in New York." Florida statute 481.223 makes it a misdemeanor of the first degree to use the name or title "architect" or "registered architect" without a Florida license.
The harder calls are the titles around it. New York says an unlicensed person "might also be prohibited from using derivatives" such as "architectural designer," that Principal should not go to an unlicensed person without a note explaining it, and that Director of Architectural Design is "inappropriate for use by a non-licensee." Associate is fine as long as nobody implies the associate is an architect.
A signature repeats whatever title it carries thousands of times a year, to clients, contractors and plan reviewers. That is why the title should be set once by whoever tracks licensure, not typed by each person. This page is general information from the rule text, not legal advice.
Who can carry which title, read from board guidance
- Licensed only
Architect, Project Architect, AIA
Licensed in that state. AIA only for Architect Members in good standing.
- Needs a note
Principal
New York: not for an unlicensed person unless the signature says they are not licensed.
- Risky
Architectural designer
New York may prohibit it for non-licensees; California has cited it on LinkedIn profiles.
- AXP candidates
Architectural intern
Texas 22 TAC 1.123(d) for AXP enrollees; New York accepts it with intern architect.
- Members only
Assoc. AIA
AIA Associate Members without a US license. The "Assoc." is part of the designation.
- Open
Designer, Project Designer, Associate
Open to unlicensed staff, as long as nothing else in the signature implies a license.
Who can put AIA after their name
Only Architect Members of the American Institute of Architects in good standing, and an Architect Member is someone legally entitled to practice and use the title architect in a US state. The AIA publishes one designation per membership class, and it treats use of its initials by a nonmember as trademark infringement. A firm cannot put AIA in its own name without a written agreement with the Institute.
Signatures get this wrong in small ways. An associate member drops the "Assoc." because it looks cleaner. A principal lets membership lapse and keeps the letters. A designer copies the principal's signature and forgets to delete them. In AutoSignature the designation is a field on the person, set by the office manager who sees the membership renewals.
| Designation | Who holds it | Signature example |
|---|---|---|
| AIA | Architect Member, licensed in a US state | Diane Hollis, AIA |
| FAIA | Fellow of the AIA | Robert Lin, FAIA |
| Assoc. AIA | Associate Member without a US license | Elena Brooks, Assoc. AIA |
| Int'l Assoc. AIA | Member licensed only outside the US | Tomas Ruiz, Int'l Assoc. AIA |
| AIA Member Emeritus | Retired Architect Member | Walter Price, AIA Member Emeritus |
| Hon. AIA | Honorary Member, not an architect | Grace Kim, Hon. AIA |

Architect title and firm name rules by state
The rules that decide what belongs in an architect's signature, read from the statute, the board rule or the board's own guidance. Each row can become a group template, so a principal licensed in two states carries both lines and a designer carries neither.
| State | Rule | What it says | What it means for a signature |
|---|---|---|---|
| New York | NYSED Office of the Professions, titles guidance | Only a person licensed in New York can call themselves an architect; misuse of the title may be prosecuted as a Class A misdemeanor, offering services as a Class E felony | Architect and Project Architect only on New York licensees writing to New York clients |
| New York, staff titles | Same guidance | Architectural intern or intern architect is acceptable for people gaining experience; Principal needs a note if unlicensed; Director of Architectural Design is inappropriate for a non-licensee | Hold the title per person and override the HR title where it fails the test |
| California, individuals | B&P 5536(a) | A misdemeanor for an unlicensed person to use the title architect or a term confusingly similar, fine of $100 to $5,000, up to a year in county jail, or both | The board has cited "Architectural Designer" on social profiles, so expect the same reading of a signature |
| California, firms | 16 CCR 134 | A business name with architect, architecture or architectural is limited to entities with a licensed architect in management control of the professional services | The firm name line needs that structure behind it |
| Florida, title | F.S. 481.223(1)(b) | No person may use the name or title "architect" or "registered architect" without a valid Florida license; a misdemeanor of the first degree | Architect titles only on Florida licensees |
| Florida, license number | F.S. 481.221(10) | A registered architect must include the license number in any newspaper, telephone directory or other advertising medium; a business includes its qualifying architect's number | Email is not named, but an AR number in the signature covers every proposal and marketing email |
| Texas, individuals and firms | 22 TAC 1.123(a) to (c) | Only registered architects may use any form of the word architect; a firm may use it in its name or to describe its services only if it employs or associates with a registered architect who supervises the work | Firm name and job titles both need a registered architect behind them |
| Texas, candidates | 22 TAC 1.123(d) | A person enrolled in the Architectural Experience Program may use the title "architectural intern" | The right title for AXP candidates in a Texas office |
Read in October 2026 from the Florida Statutes, the Texas Board of Architectural Examiners rules, the New York State Education Department and California Architects Board materials. None of these rules uses the word email. They speak of titles, advertising and descriptions of services, and a signature on client email is all three. Locked legal text per group works the same way as on our email signature disclaimer software page.

Names, license numbers and the firm are made up. The Florida line shows where a real AR number would sit. A firm that also carries engineers keeps their P.E. lines in the same account, set up the way our engineering firm email signature software page describes.
Where architecture firm email signatures go wrong
Nobody in a studio misuses a title on purpose. It happens because forty people each built a signature the week they started, usually by copying the person at the next desk.
The pay grade is not the title
HR calls the role Project Architect because that is the band. The person has three ARE divisions left. The directory title flows straight into every email to the client.
The last exam, then the signature
The final division is passed on a Friday and "Architect" is in the signature by Monday. The license itself arrives weeks later, and for that stretch the title is not yet true.
Assoc. AIA loses its first word
An associate member trims the designation to AIA because it fits on one line. That is the exact use the Institute calls infringement, repeated on every message.
A second state lapses quietly
A principal stops renewing in New Jersey after the last project there closes. The signature still lists it two years later, to every client in every state.
Sheets sent before they are sealed
Backgrounds and progress sets go to consultants by email every day. Without a coordination line, a contractor can read a 50 percent set as the issued one.
Interiors and architecture in one firm
Registered interior designers carry their own title rules. One signature template for the whole office puts the wrong credential on half of them.
What should an architect's email signature include
An architect's email signature should include the name with AIA or other designations the person actually holds, a job title the state board allows, the states of licensure, direct and mobile numbers, the firm name, the office, a link to the portfolio, and a line saying emailed drawings are for coordination unless sealed. Here is where each line comes from in AutoSignature.
| Line | Example | Where it comes from |
|---|---|---|
| Name and designation | Samuel Ward, AIA, NCARB | Directory name, plus a suffix held per person in the console and blank or Assoc. AIA where that is what the person holds |
| Job title | Project Architect, or Designer | Directory title, with a per person override where the HR title is not one the board allows |
| License line | Florida AR0000000 | The department or group line of the template, one group per licensing state |
| Direct and mobile | Direct +1 305 555 0127 | Directory phone fields; the mobile line shows only where it has a value |
| Firm name | Hollis Ward Architects | Locked in the template, identical on every mailbox in the firm |
| Office and portfolio | New York, Miami, hollisward.example/work | Office field and a locked link, so a new studio or a new site updates every signature at once |
| Coordination drawings line | Drawings sent by email are for coordination only and are not construction documents unless sealed. | Locked disclaimer block, on for the groups that send drawings |
| Project or award banner | Now shortlisted for the Riverside library. See the design | Scheduled with a start and end date on the email signature banners feature |
Rolling it out across an architecture firm
Most studios are live the same afternoon. Nothing is installed on a workstation or a phone, and no designer has to open a settings screen.
- 1
Connect the mail domain
Sign in to Microsoft 365 or Google Workspace as an administrator. Names, titles, studios and phone numbers come from the directory you already keep.
- 2
Work down the license roster
AIA, FAIA, Assoc. AIA or NCARB goes next to each name, and any title the board would not accept gets an override.
- 3
One template per group
Licensed architects by state, designers and AXP candidates, interiors, marketing and studio admin. Same logo and firm line, different lines underneath.
- 4
Apply and keep it applied
Signatures are written into each mailbox. New hires have theirs on day one, and every change is versioned with one step rollback.
Step by step on centralized email signature management. Studios on Outlook should read Office 365 email signature management, and those on Gmail Google Workspace email signature management.
Who buys this
15 to 150 staff
Studios with more designers than architects
The usual ratio puts most of the firm on the unlicensed side of the line. Those are the signatures a principal never reads and a client reads every day.
Several states
Firms licensed across state lines
One group per state of licensure puts the right line on each architect, and a new reciprocal license is one change instead of a reminder email.
Mixed credentials
A/E and interiors practices
Architects, engineers and registered interior designers each have reserved titles. Designations held per person keep AIA, P.E. and the interiors credential on the right names.
Pursuits season
Firms that win work by proposal
Marketing wants a shortlist or award banner on every email for six weeks. Scheduled banners go out to the business development group and come down on the end date.
After a merger
Firms that combine or rename
A new name and a new logo on a set date. Switching every mailbox in one rollout beats chasing forty people to paste a new block.
A note on fit
Sole practitioners
One architect with one mailbox can set a signature by hand in two minutes. This page is written for firms where signatures drift because there are too many to check.
Template file, per user vendor or a flat firm plan
What each approach costs a year and what it controls once a studio has more than a couple of dozen people emailing clients, consultants and reviewers.
| What you need | A template file staff paste | WiseStamp Grow | Exclaimer Standard | CodeTwo | AutoSignature |
|---|---|---|---|---|---|
| AIA only where you set it | Typed by hand | Yes | Yes | Yes | Yes, held per person |
| Applied without anything on each computer | No | Platform tier only | Yes, mail routed through its cloud | Yes, mail routed through its cloud | Yes, written into the mailbox |
| Outlook and Gmail on one plan | Yes | Yes | Yes | Microsoft 365 only | Yes, every plan |
| Cost per year at 25 staff | Admin time | $888 | $435 | $366 | $588 |
| Cost per year at 100 staff | Admin time | $1,788 | $1,740 | $1,332 | $1,788 |
| Cost per year at 150 staff | Admin time | $2,388 | $2,610 | $1,782 | $1,788 |
| Bill when you staff up for a pursuit | Same | Rises per employee | Rises per user | Rises per user | Flat inside the band |
Annual list prices: WiseStamp Grow at $49 a month plus $1 per employee, Exclaimer Standard at $1.45 per user a month, CodeTwo at its published tier rates ($1.22 at 25, $1.11 at 100, $0.99 at 150), AutoSignature on yearly billing. CodeTwo is cheaper than us at all three sizes if every mailbox is on Microsoft 365, and Exclaimer is cheaper at 25 and 100. We come out ahead when part of the studio is on Gmail, when headcount swings with summer interns and big pursuits, or when you want one flat line in overhead. Full breakdowns are on the WiseStamp alternative, CodeTwo alternative and Exclaimer alternative pages, and the yearly bill for ten vendors is in email signature software cost per user.
Architect email signature questions
Can I call myself an architect in my email signature if I am not licensed?
No. New York, California, Florida and Texas all reserve the title architect for people licensed by that state. In New York, using the title without a license can be prosecuted as a Class A misdemeanor, and in Florida it is a misdemeanor of the first degree. Unlicensed staff should use titles such as Designer or, where the board allows it, architectural intern.
Can an unlicensed designer use the title architectural designer?
It is risky. The New York State Education Department says unlicensed people might be prohibited from using derivatives of the word architect such as architectural designer, and the California Architects Board has cited unlicensed people for using it on LinkedIn and Facebook profiles. Designer or Project Designer is the safer signature title.
Can an AXP candidate use the title architectural intern?
In Texas, yes. Board rule 22 TAC 1.123(d) says a person enrolled in the Architectural Experience Program may use the title architectural intern. The New York State Education Department also accepts architectural intern or intern architect for people gaining experience toward a license. Check your own state board before you put it in a template.
Who can put AIA after their name?
Only Architect Members of the American Institute of Architects in good standing, which means licensed architects. Associate members without a license use Assoc. AIA, fellows use FAIA and members licensed only outside the US use Int'l Assoc. AIA. The AIA treats use of its initials by a nonmember as trademark infringement.
Does an architect need a license number in an email signature?
Florida comes closest. Statute 481.221(10) requires a registered architect to include the license number in any newspaper, telephone directory or other advertising medium, and a business to include the number of its qualifying architect. Email is not named, but a signature on proposal and marketing email is the simplest place to carry it.
What should an architect's email signature include?
An architect's email signature should include the name with AIA or other designations the person actually holds, a job title the state board allows, the states of licensure, direct and mobile numbers, the firm name, the office, a link to the portfolio, and a line saying emailed drawings are for coordination unless sealed.
Can an architecture firm manage every employee's email signature from one place?
Yes, when the firm owns its mail domain on Microsoft 365 or Google Workspace. AutoSignature writes the approved signature into every mailbox, so a designer who passes the last ARE division gets the architect title and AIA in one change, and nobody else can add it to their own signature.
Put the right title on every email the studio sends
Team is $99 a month for up to 25 mailboxes, Business is $299 a month for up to 150, and yearly billing takes 50 percent off. Every plan covers Microsoft 365 and Google Workspace.
